e-Register® is a complete bilingual web enabled
system that manages a university's collection of data and
information, providing decision makers at all levels of the
university with a tool to retrieve, access, control, and process the
correct data at the correct time, enabling them to make the right
decisions at the right time. e-Register® is an online, modular,
fully integrated system designed to fully automate the activities
and functionalities typically found in a university environment.
It
is considered a basic component for e-learning. e-Register® can
serve all types of systems in higher education including
universities and colleges. It supports the credit hour system and
the annual system, as well as a mix of the two (semi). The system
also supports graduate studies. e-Register® can support such a
diversity of academic plans as major, minor, and groups within a
plan. The Total Education Solution e-Register® is a total
multi-campus solution for academic institutions, consisting of
several modules fully integrated to provide institutions with the
facility to manage, control, and run their data environment. This
system is currently successfully running in many universities within
the region and works according to a variety of systems including the
credit hour system and annual system.
e-Register® consists of many
integrated modules: Admission Module, The Admission Module is the
gateway to interacting with e-Register® and manages the admission
process of an academic institution. e-Register® enables
administrators to define and control their own admission policies,
applications, and entry examinations. The aim of the Admission
Module is to create and generate student files through such
functionalities as defining basic demographic, academic, or official
data, and managing entrance examinations. Registration Module, The
aim of this module is to enable users to handle all registration
related activities including creating timetables and reservation
facilities for classrooms, dropping and adding courses, and managing
withdrawal rules.
T he system is based on creating and maintaining an
academic calendar; in which all activities that depending on dates &
periods will be executed and implemented. Major sheet plans are maintained and created in this
module where they are used to control the academic progress, monitor
the registered courses according to the plan, and determine the
graduates based on completion of those plan requisites. Major sheet
plans are also used in decisions related to accepted transfer
courses from other universities or from interdisciplinary transfers.
Moreover, students can register through the Internet by accessing
the web-enabled module hosted on the web. Academic Advisory Module,
Students are divided into groups; each group is assigned to an academic
advisor who is in charge of the academic decision of a student's
registration and progress in academic majors according to a specific
major sheet.
This monitoring process is maintained
in this module. The academic advisor has access to the student
academic record, the basis of a proposed semester schedule prepared
by a student. Issues related to academic warnings and student GPAs
are considered in order to plan for student registration each
semester. Grade Recording and Management Module, this module is the
critical part of the e-Register® system. It handles student grades
and assessments, as well as calculates and maintains the GPA for all
students. Security measures, internal coding, and encryption schemes
are followed in order to maintain the integrity and accuracy of
grades; several auditing mechanisms are performed to prevent
tampering with the grades.
The system supports various grading
schemes including percentages, numerals, points, and letter grades.
Formulas for calculating the GPA are incorporated within the system
and performed automatically at the end of period or upon request.
Users can either feed into the system students’ grades after each
quiz and the system will calculate the final grade, or one final
grade can be fed at end semester. Student Follow Up Module, The
Students Affairs Deanship typically accesses and updates this
module. The Dean is able to monitor and follow up on students,
allowing management for disciplinary measures, attendance follow up,
and for student transfer between universities, departments, or
majors. Honor lists are also managed in this module. Student
Accounting Module, This module is totally integrated with the
registration and student information system. It manages students’
financial records, scholarships, financial aid, and student
registration.
It has the capability to handle multiple currencies.
Academic Affairs Module,
it is the human
resources system for the application. It allows universities to
define their staff details and profile. e-Register® can
interface with third party human resources systems or it
could be stand-alone. The Academic Affairs Module manages all
academic and demographic data concerning staff, faculties, and
departments.
